Expense Tracker

App

A web application that turns photographed receipts into structured, categorised spending data — with analytics, budgets, exports and optional storage in your own Google Drive.

What you’ll learn
  • How receipt OCR turns photos into itemised spend records.
  • Where optional Google Drive storage fits (drive.file scope only).
  • How workspace scoping keeps one team’s data visible only to them.

What the application does

Expense Tracker is a personal and small-team finance tool. You photograph or upload a receipt, and the application reads it with an OCR (optical character recognition) model to extract the merchant, date, totals, tax, payment method and individual line items. Those line items become a searchable expense record that feeds dashboards, budget checks and CSV exports — so nobody has to retype receipts into a spreadsheet.

Each account belongs to an organisation (a workspace). Data is scoped to that workspace: a signed-in user only ever sees their own organisation's receipts, analytics and integrations.

Features

Receipt capture and OCR

Upload or drop a receipt image. The OCR step returns merchant, date, time, subtotal, tax, total, payment method and line items, stored against your organisation.

Expense records and line items

Every receipt keeps its itemised breakdown, so you can see what was actually bought rather than a single total.

Spend analytics

Charts for spend per day and recent receipts, with a running monthly total, so trends are visible without exporting anything.

Monthly usage limits

Plans define a monthly ingestion allowance per organisation. The quota resets at the start of each UTC month and requests past the cap are refused rather than silently billed.

CSV export

Export your organisation's expenses as CSV for accounting tools, tax filing or archival.

Team roles

Owner, admin and member roles per organisation, so a bookkeeper can add receipts without being able to change billing.

Optional Google Drive storage

An organisation can connect its own Google Drive. Receipt images are then saved to a private folder in that Drive, alongside the record in the app.

Audit trail

Administrative and data-changing actions are recorded per organisation for review.

Google user data — what is requested and why

Expense Tracker offers an optional Google Drive connection. It is off until an organisation owner or admin chooses to connect it. When connected, the application requests exactly one scope:

ScopePurpose
https://www.googleapis.com/auth/drive.fileCreate and manage only the files this application creates — namely receipt images placed in an ExpenseTracker-<organisation id>/ folder in the connected Drive. It cannot read, list or modify the rest of your Drive.

Typical use: you photograph a receipt in the app; the image is stored with the expense record, and if Drive is connected a copy is uploaded to your own Drive folder and the file link is shown on the receipt. Files are uploaded privately — the application never creates "anyone with the link" sharing.

We do not sell Google user data, do not use it for advertising, and do not use it to train generalised AI models. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Full detail: Privacy Policy.

How sign-in works

A standard email address and password create the account. Passwords are stored only as one-way hashes. A signed-in session is represented by a token held in the browser's local storage and sent with API requests; it carries the user and organisation identifiers used to scope every query. The application does not use Google to sign you in — the Google connection is only for optional Drive storage, and it can be disconnected at any time from inside the app, which revokes the stored token.

Who runs it

Expense Tracker is built and operated by diyyourdata, an independent software project, and is hosted on infrastructure controlled by the operator. The application is intended for adults and small teams; it is not directed at children.

Bottom line
photograph a receipt and the app does the rest: itemised records, dashboards, budgets, and CSV — with Google Drive as an optional, scoped sidecar.
