These Terms govern your use of Expense Tracker ("the app"), available at
https://diyyourdata.com/expense/ and operated by
diyyourdata ("we", "us"). By creating an account or using the app you agree to
these Terms and to our Privacy Policy.
If you do not agree, do not use the app.
What you’ll learn- Who can use the app and under which plans/billing.
- Acceptable use and prohibited conduct.
- Data ownership, availability, and termination terms.
1. Who may use the app
- You must be at least 16 years old and able to enter a binding contract.
- If you use the app for an organisation, you confirm you are authorised to accept these Terms for it.
- You are responsible for the accuracy of the information you provide and for keeping your credentials confidential.
2. Accounts and workspaces
- An account belongs to a workspace (organisation). Workspace owners and admins control membership and roles.
- You are responsible for activity under your credentials. Tell us promptly if you believe your account has been compromised.
- We may suspend an account that is used in breach of these Terms, that endangers the service, or where required by law.
3. The service
Expense Tracker records expenses, reads receipt images with machine-learning OCR, produces
analytics, exports CSV, and can optionally store receipt images in a Google Drive account you
connect. OCR output is a machine estimate: you are responsible for checking extracted
amounts and line items before relying on them for accounting, tax or reimbursement.
Optional third-party connections are governed by those providers' terms as well as ours. A
Google Drive connection can be disconnected at any time inside the app.
4. Plans, quotas and billing
- Each workspace has a plan with a monthly ingestion allowance. The allowance resets at the start of each UTC month; requests beyond it are refused.
- Paid plans are billed through Stripe. By subscribing you authorise recurring charges at the price shown at checkout until you cancel.
- Prices and allowances may change. Changes apply from your next billing period and will be shown in the app beforehand.
- Payments are non-refundable except where required by law or where we cancel a paid period without providing it. Cancelling stops future charges; access continues to the end of the paid period.
- Failed payments may lead to suspension of paid features after notice.
5. Acceptable use
You agree not to:
- upload content you have no right to store, or receipt images containing third-party personal data you are not permitted to process;
- use the app for unlawful purposes, fraud, or to falsify expense or tax records;
- attempt to access another workspace's data, probe or bypass access controls, or interfere with the service;
- reverse engineer, resell, or overload the app, or use automated means to exceed plan quotas;
- upload malware or content that infringes intellectual property or privacy rights.
6. Your data and our intellectual property
- You own your data — receipts, expense records and the images you upload remain yours. You grant us a limited licence to store, process and transmit that data solely to operate the app for you (including sending images to our OCR provider).
- We own the app — the software, design, and documentation are ours or our licensors'. These Terms grant you a limited, non-exclusive, non-transferable right to use the app; no ownership is transferred.
- Feedback you send may be used to improve the app without obligation to you.
7. Availability and changes
The app is provided on an "as available" basis. We aim for continuous availability but do not
promise uninterrupted or error-free operation; maintenance, provider outages and network
problems can interrupt it. We may add, change or remove features, and will give reasonable
notice of changes that materially reduce functionality you paid for.
8. Disclaimers
To the maximum extent permitted by law, the app is provided without warranties
of any kind, express or implied, including fitness for a particular purpose, accuracy of OCR
output, or non-infringement. Expense Tracker is not accounting, tax, legal or financial advice.
Nothing in these Terms excludes rights you have under consumer law that cannot be excluded.
9. Limitation of liability
To the maximum extent permitted by law, we are not liable for indirect, incidental, special
or consequential loss, loss of profit, revenue, data or goodwill, or for errors in OCR output
relied on without verification. Our total liability for all claims relating to the app in any
12-month period is limited to the greater of the amount you paid us in that period or USD 50.
This does not limit liability for fraud, wilful misconduct, or anything else that cannot be
limited by law.
10. Indemnity
You agree to indemnify us against claims and costs arising from your breach of these Terms,
your content, or your unlawful use of the app, except to the extent caused by our own
negligence.
11. Termination
- You may stop using the app at any time and request deletion of your account and workspace.
- We may suspend or terminate access for material breach, non-payment, or legal requirement. Where practical we will give notice and a chance to export your data first.
- On termination your right to use the app ends. Sections that by their nature should survive — data ownership, disclaimers, liability, indemnity, governing law — continue to apply.
12. Governing law and disputes
These Terms are governed by the laws of Australia, without regard to conflict-of-law rules.
The courts of that jurisdiction have exclusive jurisdiction, except that either party may seek
urgent injunctive relief anywhere necessary. Before starting formal proceedings, please contact
us so we can try to resolve the issue informally.
13. Changes to these Terms
We may update these Terms. The "last updated" date shows the current version. Material
changes will be announced in the app or by email before they take effect. Continuing to use
the app after the effective date means you accept the updated Terms.
